No — everyone starts with a free 14-day trial, with full access to all features. No plan selection needed upfront and no credit card required. When your trial ends, your plan is based on the number of active volunteers in your account. We'll let you know before the trial ends so you know what to expect.
Cadence is designed to work alongside your existing church management system — not replace it. Tools like ChurchSuite or Planning Center are excellent for managing people, giving, events, and communication. Cadence focuses specifically on volunteer rota planning — building rotas that protect rest, share serving fairly, and show you why every decision was made. You import your people once and Cadence handles the rota planning from there. No need to change how you use your existing system.
Yes — you can start with a single team (for example, Worship, Welcome, or Production) if that's what makes sense for your church right now. When you're ready to add more teams, you'll set up the additional teams, roles, and volunteers through the normal settings — it's straightforward but does take a little time to configure each new team properly. That said, churches that set up their full volunteer base from the start tend to get the most from Cadence straight away — the fairness and rest protection works best when Cadence can see your whole team. If you're unsure how to approach it, get in touch and we'll help you think it through.
No problem — Cadence tracks your active volunteer count automatically. If you move into a higher tier, we'll notify you and move you to the appropriate plan from your next billing date. If you're on a monthly plan, the change applies from your next monthly renewal. If you're on an annual plan, we'll charge the difference pro-rata. You won't lose access to any features — your rotas, your data, and your settings stay exactly as they are.
No — volunteers don't need to download anything or create an account. When a rota is published, each volunteer receives a personalised email showing when they're serving, what role, and who they're serving alongside. If something changes and they can't make it, they can let you know directly from the email — no login required. SMS and other notification channels are planned for a future update.
Yes — you can import your volunteers from any CSV spreadsheet, which makes it straightforward to bring across an existing list from ChurchSuite, Planning Center, or a spreadsheet. Export is also available. If you ever need to move your data, it's yours — we'll always make it accessible.
Cadence is built with data protection in mind and is designed to support GDPR compliance for UK and EU churches. We're committed to handling personal data responsibly and transparently. Some of the services Cadence uses to operate (such as infrastructure and communication tools) may process data outside the UK — appropriate safeguards are in place where this is the case. Active volunteers are people who have been scheduled to serve within the last 12 months, plus any rota admins on your account. Volunteers who are no longer active — people who've left the rota, moved church, or haven't been scheduled in over a year — don't count towards your tier. You're only ever billed for people who are genuinely part of your current serving team.
No — it's designed to make things genuinely simpler, not add another layer. Set things up once and Cadence carries the load from there. Most churches will have their first four rotas published as part of onboarding itself — and planning the next round takes just a few minutes. It shouldn't be this hard. With Cadence, it isn't.
No — monthly plans have no minimum term. You can cancel at any time from your account settings and you won't be charged again after your current billing period ends. Annual plans offer two months free compared to monthly pricing. If you cancel an annual plan mid-term, please get in touch and we'll work something out.
